Childcare check-in, made simple.

A quick reference for welcoming children, reading care alerts, and releasing each child to the right person.

01 / ARRIVING

Check a child in

Normal check-in

Scan → select → confirm

  1. Scan the parent’s key tag, or type their name or phone number in the top search box and press Enter. If several people match, select the correct parent after checking the name and last four digits shown.
  2. Confirm the parent and child on the information screen. Click the child’s photo/name tile to open check-in.
  3. Read any allergy alert and important care notes. If allergies are listed, check “I reviewed the allergy alert.” Care notes alone do not require a checkbox.
  4. Click Check in. The child appears on the main Checked In screen.
02 / AT A GLANCE

What the child tiles mean

GrayNot checked in.
GreenChecked in; more than 30 minutes remain.
YellowFinal 30 minutes of the visit. Time remaining appears on the tile.
RedThe visit limit has passed; arrange checkout promptly.

Children under one year old at check-in have a one-hour limit; all other children have a two-hour limit. The check-in confirmation notes the shorter infant limit.

▲ Yellow triangle: allergy on file ● Red note icon: important care notes

The kiosk refreshes these colors and the checked-in list about every 10 seconds.

03 / LEAVING

Verify the pickup, then check out

Standard release

Never release on a name alone

  1. On the main Checked In screen, click the child’s tile. You can also click that child’s tile from the parent information screen.
  2. In Who is picking up?, select the parent/guardian or an active authorized pickup person.
  3. Check photo ID, or personally recognize the person, and match them to the selected profile. A saved photo helps but is not required.
  4. Enter your name or initials. This is your confirmation that you verified identity. Click Check out only after the child is ready to leave with that person.

Photo not on file?

An authorized pickup may have no photo yet. Verify their identity as above. After a successful checkout, the kiosk may offer to take a photo for future visits; you can add it then or choose Not now. Do not take a new photo as a substitute for ID or guardian confirmation.

04 / CHILD CARE

Edit a child or suspend care

Profile updates

Edit a child’s information

  1. Scan the parent’s key tag. In their child list, click the small pencil on the child’s tile. The child profile opens on the right, next to the parent’s contact details.
  2. Click Edit child profile. Update the fields that changed—especially Allergies and Notes—then click Save changes.
  3. Check the profile after saving to make sure the new information appears. Use ← Back to children to return to the tiles.

If a child is already checked in, click their tile on the main screen and choose View child profile; you can add a care note without checking them out. Use + Add child on the parent screen for a new child, and Take photo before saving whenever possible.

Check-in restriction

Suspend or reinstate care

  1. Check the child out first. The Suspend care action is unavailable while a child is checked in; complete the normal verified checkout before changing their care status.
  2. Scan the parent’s key tag and open the child profile with the pencil. Click Suspend care.
  3. Enter a clear reason. Add an End date if the suspension should remain active through that date; leave it blank to keep the restriction until staff reinstates care. Click Suspend care to save.
  4. While the suspension is active, the child cannot be checked in. To remove it early, reopen the profile, click Reinstate care, and confirm. Other parent or capacity restrictions may still apply.

Parent and pickup details

On the parent information screen, use Edit contact details for phone, email, and emergency contact information. Use Change picture to add a missing parent photo or update an outdated one. Confirm the parent’s approval before using + Add authorized pickup to record someone new. A photo is required when adding them on this screen; a manager can use the admin portal if no photo can be taken yet.
